Default IT's Role in Freight Management

As industry focuses on transportation as a core savings opportunity, Information Technology becomes a challenge as well as an opportunity. The transportation of materials and supplies has tactical and strategic components demanding management and business efficiency to control costs and identify unrealized savings.

A well-designed transportation solution provides user-friendly tools to drive that efficiency and generate those hard-dollar savings.

Tactical IT advantages are required to achieve these goals:
    • Ease of providing routing instructions to vendors
    • Visibility of shipments in transit
    • Hands-on outbound shipping tools (rate calculator, label printing, account security)
    • Accessibility across all freight modes (Small Parcel, LTL, Truckload, and Air Freight).
    • Utility within integrated or stand-alone environment within a company's ERP system, or accessed via a hosted environment (eg. external web tool) so that the field person can access their tools from multiple locations and in different scenarios.
    • Flexible customization to meet unique client needs (cost allocation via department, GL, PO, auto-validation/matching)

Strategic IT advantages must support client Finance, Materials Management, Purchasing goals:
    • Freight savings program “big picture” management
    • Analysis of purchasing patterns, optimization of carriers & vendors
    • Ability to create real-time 'what if' pricing scenarios to determine the best freight costs
    • Customized Business Intelligence tools to access live and historic data, identify trends (geographic shipping patterns, cost analysis, Department, General Ledger and SKU level costing and trending, savings validation)
    • Transparent ability to analyze service and mode usage, vendor compliance, carrier performance evaluation
    Bridging Tactics and Strategy

Accounting departments often have specific needs beyond those of Materials Management. Accounts Payable has responsibility for allocation of freight costs and is frequently faced with splitting shipment costs across multiple purchase orders, departments, general ledger codes and products. The best transportation IT solution automates this process so that AP can simply receive requests for transportation funding with customized allocations already completed.

The results are considerable cost savings and reduced accounting workloads. The appropriate highly-engaged IT toolset automates transaction-level accounting while providing rich data for at-a-glance analysis to reveal additional savings and efficiency opportunities at the vendor, location, department and GL level.

Today’s most effective transportation solution is customizable, scalable, with the agility to adapt to evolutionary business demands. The flexibility to integrate with existing systems is key, and must accompany the ability to 'talk' to multiple systems via multiple channels including machine-level communication (including EDI from carriers), PO data from purchasing systems, payable files, to ERP systems. Visibility and transparency must remain “friendly” to users via a simple web interface that easily answers questions and provides access to transportation systems from any location 24/7.

The only clear role of IT in our supply chain is the inventory. With the suppliers, we have no hand with the delivery since at the outset, the system of delivery has been defined so if a 1-day delivery period was stipulated in the contract then the supplier had to follow that. With our customers (which are branches and departments of our own company) the procedure is by email with a phone call to point out the request. So the software we used is for the inbound and outbound of items for inventory purposes only.

I am always amazed at the unrelated responsibilities that people without the nessacary credentials to understand the requirements for a successful and productive IT department want to unload on IT.

This does play a big role in freight and the health of the company in general since the IT is the way to visualize all the small details and the best way to keep the flow as organized as possible. Having all the necessary and related details laid out, we can better analyze and make better decisions and in that way we don't have to rely as much on learning from mistakes or trial and error since you could potentially just figure it out on paper before taking action.

I still have to see a software on freight management although my idea is on how to keep track of the items. In a forwarding company where a friend works, he said that goods in transit are the hardest to track especially when the travel is distant. But their software includes the time estimates of when the goods can reach the destination (that is barring unforeseen hindrances). Being in the IT department, I understand the automation makes procedures simpler and easier to handle.

Freight management, believe it or not, is often overlooked and un-used by certain smaller companies in the U.S. Some in Kansas, for example, do not seem to value or grasp the concept of this very useful part of the business as a whole. You need to keep track of, as well as to manage, your own company's inventory and freight.
